Become a Subsidy Vendor

Step 1: Attend our Child Care Subsidy Orientation Training. These trainings are offered twice per month in each region.

Step 2: Complete the online Child Care Subsidy Program Vendor Application

Step 3: Gather and submit required documentation with the online application.

Required documentation:

  • Documentation of operating status (does not apply to in-home care providers or Unlicensed Family Day Homes). Examples include: Certificate of Registration, Exemption Letter, License, or Permit.
  • Form W-9
  • Form W-9 supporting documentation. Examples include: copy of social security card, IRS Notification Letter 147C, or IRS Notification Letter SS-4.
  • Professional Development Certificate of Completion for VA Preservice Training for Child Care Staff. This training is required for the Program Director/Owner or Designee.
  • Additional documentation is required based on your program’s category of care. Review this chart and include this documentation with your application as well.

Step 4: All applicants are required to undergo a subsidy monitoring inspection prior to approval and once annually, thereafter. A representative of the Office of Health and Safety will contact the applicant within 30 days of referral by the Child Care Subsidy Program staff (note: child care programs approved under local ordinance have additional inspection requirements.)

Step 5: Applicants will receive a letter or email with their approval or denial within 45 days of their subsidy monitoring inspection results being received.
